Operations Support Specialist
Job Purpose:
To maintain accurate accounting records for all collections and receivables. To oversee and implement an appropriate purchasing system that performs all aspects of purchasing and front-office support for the Virginia Horse Center Foundation. To assist the Chief Development Officer with donor acknowledgment. To serve as administrative contact for the Board of Directors. To assist the Chief Executive Officer with any VHCF task or responsibility.
Status: Non-exempt / Full-time position
Direct Report: CEO and Director of Finance, Human Resources, Information Technology
Minimum Skills:
- Knowledge of Generally Accepted Accounting Principles
- Knowledge of purchasing policies and procedures
- Knowledge of QuickBooks or other computer-based accounting system
- Proficient in the application of Microsoft Suite
- Excellent communication skills
- Strong organization skills
- Ability to work in a team environment
Required Education and Experience:
- College Degree, preferably a Business or Accounting major
- Experience handling confidential information
- Computer proficiency required with experience using Microsoft Office, Internet, and QuickBooks (Strong Microsoft Excel skills desired)
- Minimum two years experience in payment processing, accounts receivable, and purchasing in an office situation
Key Areas of Responsibility – Accounts Receivable
- Reconcile QuickBooks with Donor Perfect. Researching in Donor Perfect if there are any discrepancies
- Enter cash receipts in QuickBooks
- Run reports from owned-shows credit card processors to determine the appropriate show for recordation
- Run Square reports, reconcile, and enter credit card deposits/taxes/fees/tips per report
- Enter catering/food invoices in QuickBooks
- Keep track of all catering sales and statistics.
- Enter invoices for show bills, facility sponsors, customers, etc. in QuickBooks.
- Serve as backup for Accounts Payable.
Key Areas of Responsibility – Board Support
- Manage board contact list – to include terms and expiration dates
- Six weeks prior – send out Board meeting save the dates
- Two weeks prior – send out invitations and collect RSVP responses
- One week prior – send out packets
- Request bios from nominees
- Ensure that the room is set up for the Board meeting, including that audio/visual is properly functioning and that handouts are ready.
- Run Zoom component of Board meetings.
- Coordinate Board lunches
- Produce Board minutes
- Maintain corporate records and board meeting minutes.
Key Areas of Responsibility – Purchasing
- Develop and follow Purchasing Policies and Procedures
- Implement a purchase order management system
- Determine product availability, perform comparative pricing, confirm the quality of products, and establish delivery timelines.
- Identify and resolve issues related to product quality, pricing, delivery, and loss.
- Maintain a database of product and current pricing
Key Areas of Responsibility – Development Support
- Print thank you letters and envelopes from mail merge produced by the development team.
- Mail thank you letters once they are signed
Key Areas of Responsibility – Executive Support
- Help CEO with show contracts, including responsibility for getting insurance certificates for all non-owned show.s
- New business
- Apply for competition licenses with USEF and USHJA with the CEO and Controller’s assistance.
- Perform new business research.
- Old business - tracking in Excel to include horse show information, including attendance, money spent, etc.
- Basecamp – tracking will include organizational, schedule oversight, and maintenance logs.
Key Areas of Responsibility – Other
- Assure all required licensing and documentation is executed with the appropriate governing body for equestrian events owned by the VHC.
- Work with members of the Horse Center’s staff and/or outside contractors on the education, health, and well-being of the Center.
- Assist CEO with annual budget priorities.
- Maintain a safe working environment within and around areas associated with employee work environment.
- Participate in safety training and comply with safety rules, regulations, and protocols.
- Perform additional duties and assist with special projects as assigned or when needed, including Investigations, BMX cash worksheet, MADFest sponsor contract generation, community service program, electronic filings, making event flyers, and working F&B for different shows.

Stable Office Support
Job Purpose:
Individuals must be able to perform each essential duty satisfactorily. The requirements below represent the knowledge, skill, and ability required for this position.

Assists with stable office operations by taking reservations and payments for shavings, ice, stalls, golf carts, campers, etc.
Ensure that all customers receive timely accommodations for their needs.
Status: Non-Exempt / Full/Part-time position
Starting Hourly Rate: $16.00
Direct Report: Stable Office Manager
Minimum Skills:
- Excellent communication skills and customer service with staff, managers, and exhibitors.
- Strong organization skills with the ability to multi-task
- Ability to work in a team environment.
- Must be willing to work flexible hours, including some evenings and weekends, to accommodate event demands
Preferred Education and Experience:
- High School diploma
- One to three years in an office setting and previous customer service experience and hospitality a plus
- Proficient in Microsoft Office computer programs with experience and willingness to learn any unique point of sale programs (RMS).
Key Areas of Responsibility – Stable Office
- Assist with all aspects of the Stable Office
- Be reliable and dependent and help with other duties when needed
- Be kind and courteous to all customers and visitors
- Respond to general inquiries and help to problem-solve issues as they arise with a stable office supervisor
- Coordinate with barn crew to ensure prompt delivery of feed & bedding orders
- Coordinate camper reservations and site assignments and collect payments
- Coordinate golf cart reservations and assignments and collect payments
- Coordinate vendor reservations and site assignments and collect payments
- Track sales of feed & bedding to help create an accurate inventory
- Answer phone calls and e-mails regarding reservations, look up orders and assist patrons with any adjustments needed.
- Provide a high level of professional and courteous service.
- Support all Virginia Horse Center staff, assisting as needed to provide exceptional customer service.
- Contribute to a work environment that encourages teamwork and respect for coworkers.

Grounds and Barn Crew
Job Purpose:
The Grounds/Barn crew ensures a positive overall impression of the Virginia Horse Center and provides the necessary service to ensure the facility is manicured and ready for shows. This group maintains the Virginia Horse Center grounds daily.
Grounds/Barn crew must be extremely thorough in completing their duties, which ensures clean facilities for guests and exhibitors.
Status: Non-Exempt / Full-time seasonal position
Reports to: Barn/Grounds Crew Supervisor
Starting Hourly Rate: $15.00
Minimum Skills:
- Must be able to lift 50+ pounds (hay and shavings orders)
- Good customer service and communication skills
- Ability to work in a team environment
- Must have valid driver’s license
- Previous experience in a similar field, including operating mowers, forklifts, and tractors
- Ability to work outdoors regardless of outdoor weather conditions
- Ability to lift, bend, twist, and stand for long periods of time.
Preferred Education and Experience:
- Experience operating tractor, skid-steer, bobcat, and water truck
- High School Diploma or GED
Key Areas of Responsibility – Barn Crew
- Clean stalls, wash racks, and other grounds areas
- Deliver shavings and hay to exhibitors before and during events
- Maintain the grounds, including dragging and watering arenas
- Collect trash and sweep in and around the barns
- Use equipment such as skid-steers, tractors, golf carts, etc. during barn clean-up
- Maintain cleanliness and organization of work areas
- Other duties as assigned by Management
Key Areas of Responsibility – Grounds Crew
- Operate various types of equipment such as lawnmowers, tractors, weed trimmers, etc.
- Maintain grounds as needed, including lawn care, weed control, and trimming.
- Collect trash and sweep in and around the barns.
- Set up and take down jumps and fence rails
- Complete special event set up and tear down
- Drag and water facility as needed
- Remove snow

- Serve as a point person within the organization for customer service.
- Work with members of the Horse Center’s staff and/or outside contractors on the well-being of the Center.

Food and Beverage Concessions/Catering Worker
Job Purpose:
Provide friendly, courteous service to all customers. Take customer orders and accurately enter into a point-of-sale system. Ensure that customer orders are complete and accurate when served.
Assist with producing all food products, ensuring proper cost control, effective safety and sanitation procedures, and the highest quality standards in timing, taste, and presentation. Ensure a commitment to creating an environment that consistently meets or exceeds the expectations of our patrons.
Assist with the successful execution of all VHCF contracted catering events. Support the Food & Beverage Manager with all stages of each event’s execution and follow up to ensure client satisfaction.
Status: Non-Exempt / Full and Part-time seasonal position
Reports to: Food & Beverage Concession/Catering Manager/Supervisor
Starting Hourly Rate: $16.00
Supervisory Responsibilities: Food and Beverage Concessions
Minimum Skills:
- Excellent communication and customer service skills
- Ability to work in a team environment
- Industry-related post-secondary training
- ServSafe Certification
- Ability to use a point-of-sale system with accuracy
Preferred Education and Experience:
- High school diploma
- One to three years experience in a restaurant and/or with catered events
- Ability to work for long periods in a fast-paced environment
Key Areas of Responsibility – Concessions
- Participates in daily tasks such as food preparation, stocking supplies, taking inventory, cleaning, operating the register, order placement, and resetting tables.
- Adheres to guidelines set forth by Food & Beverage Management and ABC Board
- Maintain standard recipes to ensure consistency and quality of food.
- Help create innovative and appealing menus that reflect culinary trends and meet customer preferences.
- Oversee food preparation and cooking processes to maintain high standards of taste and presentation and act as quality control for outgoing products.
- Ensure compliance with food safety and sanitation standards and health department regulations.
- Stay updated on industry trends and incorporate new techniques and ingredients into menu offerings.
- Foster a positive work environment encouraging teamwork, creativity, and professional growth.
- Handle customer inquiries and complaints promptly and courteously.
- Provide two-way communication and nurture an ownership environment emphasizing motivation and teamwork.
- Ensure collaboration with management to achieve financial targets and contribute to the Virginia Horse Center Foundation’s overall success.

- Arrange buffet tables with food, beverage, and service items according to standards.

Facility Cleaner
Job Purpose:
Facility Cleaners must be extremely thorough and professional in completing their duties. Facility Cleaners positively represent the Virginia Horse Center Foundation throughout the daily cleaning and disinfecting of all human and non-human spaces in the facility.
VHC is an outdoor facility, so there is a lot of dust and dirt, which requires continuous cleaning.
Facilities Cleaners are responsible for performing a combination of tasks to maintain the premises clean and orderly.
Status: Non-exempt / Part-time position
Direct Report: Coliseum and Mezzanine Administrator
Starting Hourly Rate: $14.50
Minimum Skills:
- Excellent communication skills
- Attention to detail
- Strong organizational skills
- Ability to work in a team environment
Preferred Education and Experience:
- High School diploma or GED
- 2 to 3 years of custodial experience
- Proven ability to multi-task
Key Areas of Responsibility – Facility Cleaner
- Clean buildings by emptying trash, sweeping hallways, and stairwells, cleaning and disinfecting surfaces
- Clean and service restrooms with mops and disinfectants
- Steam-clean carpets
- Clean windows, glass partitions, and mirrors using soapy water or other cleaners, sponges, and squeegees
- Dust furniture and scrub surfaces clean
- Apply wax to coat floors and buff
- Set up chairs and tables for VHC events
- Identify and report the need for possible repairs on sinks, toilets, and facility items
- Operate golf cart
- Must be able to lift 40 + pounds
- Responds to emergency clean-ups
- Able to safely handle and use cleaning chemicals
- Able to operate housekeeping equipment
- Follow staff conduct policies and time management guidelines.
- Willing to cross over and assist in other areas as required.
